The Volunteer Project Coodinator is responsible for managing volunteer relations through oversight of assigned special projects, committees and new initiatives. The Volunteer Project Coordinator will work closely with the Chief Executive Officer (CEO) assisting in the planning and execution of volunteer programs and initiatives based on the society’s strategic objectives. The Primary responsibilities are:
RESPONSIBILITIES
Manage & coordinate special projects, committees and new initiatives to achieve ASCCP strategic goals.
Support assigned committees and assists in implementing the association’s strategic goals. Responsibilities include scheduling/coordination of meetings, drafting agendas, taking minutes, and following up on action items.
Ensure communication and coordination among committees, working groups and volunteers. This includes ensuring tasks are completed on time, within scope and budget.
Monitor and document the progress of all activities.
Provide a high level of customer service and monitor and respond timely to all member inquiries and requests.
Perform quality work within deadlines with or without direct supervision.
Interact professionally with other employees and volunteers.
Work effectively as a team contributor on all assignments.
Work independently while understanding the necessity for communicating and coordinating work efforts with colleagues.
Maintain in good order all records and files and ensures the safe keeping of all company and association records.
Meet regularly with CEO to ensure proper information flow and adherence to stated goals and objectives.
Demonstrate good judgment in investigating problems and making decisions.
Provide support (pre, post and on-site) as assigned for Annual meeting.
Other duties as assigned.
Knowledge, Skills, and Abilities:
Excellent interpersonal and written communication skills.
Demonstrate the core competencies (communication, productivity, quality, responsiveness, leadership).
Ability to coordinate multiple projects within the organization and other departments to achieve project goals on time and within budget.
Proficient knowledge of Microsoft Office, Adobe, Google Suite, Asana, Slack and Dropbox.
Demonstrate superior level of customer service and time management.
Self-motivated to find and offer solutions to problems.
Flexibility to accommodate the schedules of member volunteers.
Will require availability for occasional evening and/or weekend meetings and travel for conferences/board events.
REQUIREMENTS
Qualifications include a bachelor’s degree and at least 3-5 years of relevant experience. Must be detail-oriented, highly organized, self-directed, and have a collaborative workstyle. Preference given to someone with experience working for a medical society and who has successfully worked in a virtual environment. (preferably lives in the DC Metro area) Exceptional computer skills required.
