The Executive Program Coordinator will support the Executive Vice President (EVP) for the Florida Chamber Foundation, and the Foundation’s mission on a wide range of operational projects, stakeholder engagement, administrative and Florida 2030 Blueprint support-related tasks.
This person will think proactively and strive to quickly learn all aspects of the Foundation’s mission which is to unify businesses towards advancing the strategy as outlined in the Florida Chamber Foundation’s, Florida 2030 Blueprint (https://www.flchamber.com/florida-2030/). This person will work independently with little supervision, while managing and leading a wide range of tasks, scheduling, and project activities in support of both the EVP for the Foundation, and other Foundation program initiatives and projects as required. Working within a professional, high-pace, performance-driven work environment, this person must be exceedingly well organized, flexible and enjoy turning administrative and workflow challenges into opportunities. Duties will include serving as a liaison with board members, and other Foundation stakeholders as required. This includes assisting with orchestrating all board of directors’ meetings, other committees and task force meetings, and general engagement of each board/committee member, scheduling virtual and in-person meetings, and participating in the creation and assembly of board member engagement books, taking meeting minutes, etc. The Executive Program Coordinator will also be expected to author correspondence, communiques, and work closely with strategic communications and marketing team on content formulation for various strategic communication and marketing artifacts, social media, etc.
This person will be expected to interact with fellow staff members and investors in the Foundation’s mission (at all levels, including C-Suite) in a dynamic environment, sometimes under pressure, while remaining flexible and proactive, resourceful, and efficient, all the while retaining a high level of professionalism, integrity, and confidentiality.
The EVP for the Florida Chamber Foundation will provide clarity and definition around tasks and duties so that the Executive Program Coordinator can take initiative to be a self-starter and operate autonomously to complete quality work that is timely, accurate, and held to the highest standard. Expert-level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
Essential Duties & Responsibilities:
- Support executive-level leadership and the department.
- Draft and disseminate executive-level correspondence
- Coordinate scheduling requests for internal and external meetings
- Handle and protect schedule, using strategy and prioritization to help maximize the executive’s time
- Maintain updated contact lists across multiple programs and platforms as needed
- Assist in preparation for Board Meetings by preparing documents, reports, and presentations
- Provide assistance in coordinating meetings and preparing materials for all committee meetings during the year, including all pre and post meeting materials to committee and needed board reports
- Assist in creating/editing PowerPoints for presentations and speeches
- Prepare and submit expense reports
- Assist in managing the department’s scheduling, including travel, travel expenses and both in-house and in-town meetings
- Manage any day-to-day assignments as appropriate
- Other duties as assigned
- The ability to travel, on occasion, to support various Foundation events.
Requirements
- Strong oral and written communication skills.
- A strong attention to detail
- Highly proficient in Microsoft Office products, i.e., Outlook, PowerPoint, Excel, MS Teams, etc.
- Excellent time-management and organizational skills
- The ability to multitask and thrive in a fast-paced environment
- A team player mentality
- 5+ years of administrative/ project & program management support experience
- Preferred: Previous experience supporting C-level executives
- Successful experience calendaring and working effectively as a handler of executive calendars
- Strong decision-making ability
- Operate with strict confidentiality and a high level of discernment in all applicable matters
