Coordinator – Specialty Conferences – Corporate Development

Summary: Primarily responsible for assigning exhibit space and managing exhibition product orders for WEF Specialty Conferences. Works with team to develop exhibition and sponsorship marketing materials, booth space contracts and booking forms for specialty conferences. Provides support for WEFTEC exhibit sales.
Coordinates with corporate partners and sales representatives to assist with lead generation, appointment setting, and data updates.
Conducts research to find new prospects for WEF’s year-round corporate investment opportunities including conferences and advertising, adding leads to Salesforce CRM. Sources for prospects include other event exhibitor/sponsor/advertiser lists, ZoomInfo or similar prospect databases, incoming inquiries, online research, etc.
Responsible for specialty conference event set ups in WEF’s Exhibition Management System. Ensures sales related APIs are operational between EMS and other systems (WEF’s AMS, Salesforce, etc.).
Assigns exhibit space for specialty conferences. Enters virtual event product orders.
Maintains sales reporting, key data metrics to monitor progress against team sales goals.
Collaborates with multi-department teams to support development of contracts, booking forms, brochures, and marketing material, email blasts, etc.
Conducts outreach to clients with invoices, overdue balances or unpaid memberships to ensure all clients are paid in full prior to specialty conference dates. Handles refunds, booth moves, space reductions and booth cancellations.
Handles addition of priority points for non-WEFTEC events.
Develops and produces ROI reports for specialty conference exhibitors. Coordinates with Coordinator, Sponsorship Operations to combine with sponsorship reports as appropriate.
Enters OSR budget projections/entry for WEF specialty conferences and runs reports as directed.
Provides administrative and project support for WEFTEC exhibit sales.
2+ years sales support, exhibition sales/operations, administrative and/or marketing experience
Previous business to business sales experience; Exhibit/sponsorship experience preferred
Excellent people skills with strong customer service orientation
Deadline and detail oriented with accurate follow-through
Excellent project, organizational and time management skills
Able to handle multiple projects and meet deadlines
Excellent verbal and written communication skills including good phone manners
Creative problem solving abilities
Computer literate in Microsoft Office, CRM database and exhibition management software (MYS, A2Z, EXPOCAD).
Ability to work as part of a team while achieving individual goals
Ability to travel up to 5%
This person will work primarily in an office environment using standard office equipment.
