IMSA is accepting applications for a Volunteer Services/Section Relations Coordinator who will initially report to the Executive Director of the organization and will be responsible for communicating with members, working with various volunteers of the association, and ensuring governance structure guideline are being met by the 20 plus related Sections. IMSA seeks a highly energetic individual who exhibits a strong attention to detail with excellent problem solving and relationship building skills. S/he will be expected to contribute broadly to all aspects of the fulfillment of IMSA's mission and strategic plan. Eventually to report up under the Director of Membership Services and Marketing.
To achieve success in this position, it is essential for the candidate to be both independent self-starter and a team player. Performance of the duties associated with this responsibility requires an individual capable of providing customer service, responding to member requests in a timely manner, creating invoices and processing payments, and developing relationships with various association volunteers.
The Volunteer Services/Section Relations Coordinatorwill have a demonstrated ability to perform the following duties:
Work within a team environment corresponding daily with volunteers and IMSA team members.
Manage the IMSA committee and affiliated representative governance and reporting process.
Develop and Implement a volunteer leader transition and knowledge process for committee and IMSA Section leadership
Manage the IMSA Section Charter coordination and oversee Section success in compliance with IMSA bylaws, and Governance Policy Manual.
Answers emails and phone calls in response to volunteer leaders needs and concerns.
Serve as the primary point of contact for all IMSA Council of Delegates and Section Officers in accessing IMSA material and information related to their positions.
Process IMSA bills for payment.
Assist the finance department in generating Section related invoices matching checks received to open invoices, posting payments and collection of receivables
Reconcile credit card statement on a monthly basis.
Generate monthly and quarterly system reports as needed for disbursements and reconciling of accounts.
Assist the membership department in Section member recruitment and retention programs
Engage Sections in soliciting news content and features of local area members.
2-year college degree in business, organizational development, or a related nonprofit management field. CVA Certification preferred.
Excellent written/oral communications and interpersonal skills.
Proficient in Microsoft Word, Excel, Outlook and PowerPoint.
Experience with invoicing, receiving, and posting payments electronically.
Strong customer service skills and the ability to exhibit patience.
Great organizational skills and problem-solving abilities
Exhibit proficiency working within a database and querying information
Ability to understand volunteer needs and propose solutions to meeting them
Ability to learn and work within the association management software (iMIS) database.
Association experience and/or association management software experience preferred.
Ability to work remotely independently and within a team environment communicating with staff, volunteers, and outside organizations.
Some travel required for meetings at IMSA HQ as well as annual Forum and Expo or other related meetings and events.
Telecommuting is allowed.
