Support the Meetings & Conventions Department with various meeting planning functions to execute meetings and conventions. Assist Director of Meetings & Convention Services with logistical support and coordination of Board of Director meetings, committee meetings and other various areas.
Engage, interact, and communicate across all Meetings and Conventions department and senior leadership.
Provide logistics support for the Board of Director Meetings by creating programs, specifications, DMC coordination, floral, transportation, invitations, placing follow-up phone calls, producing signage, printing badges, and coordinating shipments.
Maintaining Board of Directors roster and committee listings, updates to internal AMS and website.
Assist with Board of Director meetings and VIP events at the NADA Show to include specifications, venue coordination, DMC management, signage, and other administrative tasks.
Pre-planning and onsite management of the Spouse Program during NADA Board of Director meetings.
Committee meeting logistical coordination including food and beverage selection, restaurant arrangements, printing tent cards and transportation
Organize the Chairman’s calendar of appointments, travel itineraries, transportation and other coordination with various NADA departments.
Prepare the Convention and Expo Committee reports to the Executive Committee and Board of Directors.
Produce the Show Committee agenda booklet and PowerPoint for the meeting, collecting all information needed for the reports and coordinating with public affairs on the project.
Support meeting planners with ATD Show pre-planning and onsite coordination.
Administer logistical coordination of NADA Academy Graduations, receptions, and offsite class needs.
Manage supply inventory for the Board of Directors meetings and NADA Show VIP events.
Manage on-site Board of Directors office, including food and beverage, office set-up, supplies, coordination with other NADA staff and meeting planner support.
Work with Expositions team to assist with shipment for the NADA Show and oversee Conventions Services shipment.
Plan all logistics for NADA Staff events to include Holiday Party, Summer event and any other staff events.
Assist department directors with meeting planning support.
Keep documentation on support projects and processes up to date.
Assist in all areas onsite at convention as needed.
Complete both ongoing and new projects/tasks as required.
Other job-related duties as assigned.
College degree preferred. CMP a plus but not required. Minimum three years meeting planning and administration experience required. Association experience preferred. Interaction with C-suite level a plus. Excellent written and oral communication and organizational skills required. Proficiency in Microsoft Office Suite programs. Experience with attendance software preferred. Detail-oriented with ability to set priorities and handle multiple short-term and long-term projects while following through on assignments. Desire to work in a team environment and ability to handle confidential information is a must.
