Position Summary: The Virtual Events Manager works with the Director of Meetings to lead the APS virtual events strategy and overseeing implementation for current and future virtual and hybrid events. APS runs 20-25 events annually ranging from 100 to 12,000 attendees. The manager understands the virtual event and conference industry, including programming for online learning, user web behaviors and digital production. Digitally savvy and curious on latest technology trends, this manager is continually up to date on virtual event best practices, has an audience-centric approach, and provides innovative thinking to drive new ideas in an ever-changing environment.
A Typical Week May Look Like This:
Provides leadership as a critical team member, working cross-functionally with colleagues on event/conference strategy, conception, event operations, sponsorship creation and activation, audience engagement, and execution of a growing portfolio of virtual and hybrid events, combining in-person and virtual attendance options.
Works with volunteer unit leadership, members and staff to determine the best technology and platforms for requested conferences, webinars and workshops.
Leads requests for proposals, selection process and contract management of virtual event platform(s) and/or conference mobile applications for each event product, working with IT, Accounting, and other internal departments.
Works with APS IT to manage all technical aspects of virtual events, including documentation of requirements, direction of programming for hybrid and virtual events, integration with other APS platforms, and management of conference mobile apps
Oversees all requests for virtual events including webinars and workshops to gather requirements and recommend the appropriate platform, resources, and/or modifications according to budget and organizational content and digital strategies.
Showcases deep knowledge of online experiences for virtual learning and stays up to date on industry best practices and how these can be translated into APS’s offerings to elevate virtual attendee experience.
Contributes to preparation of marketing and communications materials, monitoring all virtual programming elements to feature throughout planning, execution, and post event cycles.
Uses data to evaluate success and make recommendations for improvement.
Has keen understanding and experience in building online communities and virtual networking or events.
Collaborate with events team to develop a hybrid strategy for the return of live events, with appropriate technologies and logistics while adhering to the budget
Ensures that virtual event experience aligns to overarching event strategies and APS’s organizational business goals and messaging.
Builds and manages relationships with in-house and external partners.
Partners with vendors to oversee project management and timelines of each event product, and leads internal project management processes, defining key milestones and ensuring deadlines are met.
Develops and manages budget and reporting on metrics of success.
Partners with meetings logistics team, scientific programs team and APS communications team to facilitate all related meetings and communications.
Other duties and projects as assigned to support APS events.

Is This You:
Education: Bachelor’s Degree
Certification: CMP and DES are recommended.
Experience, Knowledge, Skills and Abilities:
7-10 years of experience in a similar work environment with meetings management or online learning.
Experience producing revenue-generating virtual conferences and events, scientific meetings are a plus.
Strong technical understanding, including digital specifications, user experience, and how data is passed between systems.
Portfolio of progressive virtual event experience and experience producing virtual events in a variety of online platforms.
Demonstrated project management skills; organization, prioritization, and analytical skills with a proven ability to multi-task and manage complexity.
Creative, strategic thinker.
Ability to forge strong relationships with stakeholders at all levels, managing and setting clear and well-defined expectations.
Self-starter attitude, entrepreneurial spirit, and ability to move quickly in a fast-paced environment.
