Under the direction of the Director, Event Management & Logistics, the Senior Specialist, Event Registration drives end-to-end registration processes, reporting and tracking for each of SHRM’s major conference offerings to elevate the SHRM event experience overall. These include our Annual Conference & Expo, specialty conferences, and other meetings and events, reaching between 100 – 25,000 people annually. The Senior Specialist has a proven record of implementing registration management best practices in the events and conference industry for both in-person and virtual events. Organized and has the ability to build solid relationships with internal and external partners to achieve SHRM brand and business goals. Your Day: - Lead development and execution of conference and event registration policies and procedures, including all product builds and point of sale in Netsuite, partnering with SHRM’s IT, Customer Experience, Accounting, and other teams.
- Manage and administer automated registration processes for 10-15 events at a time, ranging from hundreds to thousands of paid and non-paid attendees.
- Establish, implement, and monitor adherence to protocols, processes, and best practices to support SHRM event revenue and registration goals, to achieve operational excellence and to deliver exceptional client service.
- Manage relationships, troubleshooting, escalations and functionality enhancements with external registration vendors.
- Contribute to the development of department, Annual Conference and/or Specialty Conference budget(s), registration forecasting and price modeling. Submit forecasts for assigned budgets for the upcoming fiscal year and spring/fall reforecasts.
- Create a variety of event reports, dashboards and documents, responding to specific inquiries of staff and partners, preparing correspondence with hotels, venues and other vendors.
- Coordinate and track all registrant information collected and customized for each event’s specific needs including but not limited to: demographics, dietary requirements, allergies, contact details, selected rates, membership status, main event and optional add-ons, event experience opportunities, ticketed or invitation only events, etc.
- Actively participate in all event planning, strategy, internal and external partner meetings as required, providing status reports and fielding registration, deadline, attendee, financial, and other registration related questions from SHRM staff, venues, hotels, and vendor leads, to ensure transparent communication across teams.
- Contribute to all registration related communications, including confirmations, updates, changes to original purchases or events’ statuses, complimentary and paid participant information, marketing, key deadlines, onsite registration logistics, event mobile apps, platforms, and web content.
- For in person events, work with all internal and external partners on assembly of onsite registration materials (badges, bags, ribbons, lanyards, printed materials, SHRM and sponsor branded items), registration main and satellite service locations, staffing, supplies, reporting, security, etc.
- Responsible for reporting and post-meeting reconciliation with Finance team, with a focus on quality and accuracy.
- Other duties as assigned to support SHRM events.
