The Assistant Executive Director works in consort with the Executive Director to ensure effective and consistent management of association operations with particular attention to the management of the association’s data management system, oversight of all association communications and social media, planning, promotion and execution of association social events, and management of bar center staff.
DUTIES AND RESPONSIBILITIES
Join all staff and DCBA leadership in identifying, recommending and implementing innovative and compelling mechanisms to recruit and retain new members.
Manage all aspects of the association’s data management system (currently Your Membership) providing regular reports, special data analysis on request, troubleshooting of issues and training to staff.
Maintain records of member prospects and support follow-up and recruitment activities of all staff. Provide regular reporting on recruitment efforts.
Process all new member applications and manage the new member welcome communication stream.
Oversee the annual dues renewal process, including but not limited to drafting collateral, production and distribution of mailed and electronic invoices, and regular reporting on retention.
Work annually with the President Elect and Executive Director to choose venues for major association social functions, specifically the Installation (June) Golf Outing (August) and Holiday Party (December) of the following year.
Identify appropriate venues for monthly networking events and work with the Executive Director on an annual schedule for presentation to the association in July of each year.
Negotiate contracts with all venues chosen for association social events and present to the Executive Director for approval.
Work with the Executive Director to develop annual budget assumptions for all social events.
Develop marketing and promotion plans for all social events, providing support to and directing other staff as appropriate.
Manage all aspects of registration for all social events including set-up, training, troubleshooting and reporting in the association’s data management system.
Work with the President and Executive Director to develop final event specifications for all social events (e.g. menu, room arrangement, décor, AV, etc.) and communicate final decisions to venue.
Direct preparation for onsite management of social events (e.g. check in list, name badges, signage, BEO copies, etc.) and attend events as required and/or appropriate.
Governance and Administration
Assume responsibility for bar operations in the absence of the Executive Director.
Serve as staff liaison to Membership Divisions (Paralegal, New Lawyer, Senior Lawyer), the Practice Management and Technology Section, the Membership Committee and the DuPage Bar Foundation Board.
Provide support to Legal Aid Foundation and DuPage Bar Foundation fundraising activities, including but not limited to Golf Outing Raffle, Holiday Breakfast and Judges’ Nite Auction.
Supervise reception area part time staff and assist in phone coverage as necessary. Coordinate administrative projects from other staff utilizing reception staff for completion.
Possession of a terminal degree (Bachelors, Bachelors equivalent or higher) from an accredited college or university.
A minimum of five years’ experience working inside professional or trade associations with demonstrated experience in membership management and event planning.
Proficiency using Microsoft Office software including: Excel, Word, Power Point and Outlook and administrator level experience with cloud based data management systems.
Knowledge of general marketing, business and accounting principles.
Strong written and verbal skills.
Ability to efficiently balance conflicting priorities and multiple tasks.
Willingness to attend numerous early morning, evening and week-end meetings. Occasional travel is required.
Strong interpersonal skills and excellent customer service.
Skills to independently organize prioritize and complete multiple tasks within deadlines.
