Position Summary TDI is currently seeking a highly organized, reliable Office Manager to oversee the day-to-day operations in our fast-paced, client-focused office based in Washington D.C. The Office Manager will also serve as the face of our firm and will be expected to be poised with a specific emphasis on efficiency and professionalism. The candidate will directly report to and provide support to the firm’s Managing Director of Administration. This role will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, administration staff coordination and task delegation. The successful candidate will be an energetic, experienced professional that has a high degree of integrity and doesn’t mind wearing multiple hats. The candidate must be an excellent communicator and demonstrate strong organizational and interpersonal skills. Primary Responsibilities - Manage the office reception desk by answering telephones, greeting guests and providing general support to office visitors.
- Serve as the point person for all office services including maintenance, mailing, shipping, supplies, equipment, and errands.
- Organize and schedule meetings and a variety of appointments.
- Monitor and maintain office supplies inventory.
- Review and approve office supply acquisitions.
- Coordinate with the firm’s internal IT department on all office equipment.
- Manage service provider and landlord relationships and facilitate contract and price negotiations with third parties ensuring that all items are invoiced and paid on time.
- Manage executives' schedules, calendars and appointments.
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems.
- Develop and implement office policies by setting standard operating procedures that guide the daily administration of the office.
- Mentor office staff to ensure top performance by providing them adequate coaching and guidance.
- Allocate available resources to enable successful task performance.
- Ensure office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise.
- Lead the planning and execution of company events.
- Maintain a safe and secure working environment.
- Review and analyze special projects as needed and keep the management properly informed.
- Reports to the Director of Administration and works closely with HR.
