Organizational Overview The National Council for Behavioral Health (National Council) is the unifying voice of America’s community mental health and addictions treatment organizations. Position Summary The Manager, Conference works as part of the Conference team in support and management of the National Council’s live events including, the Annual Conference, Hill Day and other events as directed by the AVP, Conferences. National Council for Behavioral Health’s annual conference, NatCon, for over 6,000 attendees is healthcare’s largest and best-rated specialty conference on Behavioral Health held in various locations across the U.S. every year. Responsibilities Event Registration: Serves as project lead with internal staff from various departments and outside vendors to develop, design, improve and manage registration process for all National Council events. Serves as day-to-day contact for 3rd party registration vendor. Sets up registration process for all events. Reports weekly or as needed registration statistics for events. Proactively responds to and resolves registration issues and questions from staff, vendors, exhibitors, and attendees. Develop and leads on-site registration process and temporary staffing. Actively works on technological/process improvements and all conference marketing materials including the website and conference app. Provides excellent customer service to internal and external stakeholders through phone calls, email etc. Oversees ADA special requests on an as needed basis. Event Management: Coordinates all aspects of the logistics of meeting planning for multiple meetings simultaneously. Tasks Include: Creates and tracks vendor RFP and venue process, negotiation and contracting and provides recommendations to supervisor; Creates event specs to include detailed set-up requirements; accurately communicate requirements to clients, venues and vendors; Reviews and approves BEO’s, flow sheets, and function orders with venues and vendors; Creates detailed update and post-event reports; Monitors hotel pick-up weekly and provides solutions for contractual line items. Research/Data Analysis: Analyze registration and membership data to note changes in patterns in attendee registration and on-site activities; Provides show-end detail reports to Asst. VP Conferences and other leadership team members. Collates and distributes final attendee conference evaluation scores. Conference Support: Supports team members and maintains a working knowledge of all software that supports the Conference team. Manages incoming general correspondence, including emails, voicemails and phone calls. Participates in planning meetings. Finance department to reconcile registration payments, refunds etc. Other duties as assigned.
