The Water Environment Federation is seeking a WEFTEC Program Coordinator to join the WEFTEC Education team. This position will be responsible for coordinating and supporting multiple aspects of the WEFTEC education program development and implementation. (WEFTEC is the Water Environment Federation’s Annual Technical Exhibition and Conference for the wastewater treatment industry)
Implementation of the abstract submittal, review, and program development system (approximately 4 call for abstracts per year).
Coordinate speaker database from abstract submission to session creation including updates to information.
Answer submitter, speaker, and moderator questions. Monitors various email inboxes.
Assist CE Manager in obtaining approval of events for continuing education credits.
Serves as the point of contact to the workshop chairs/vice chairs from acceptance through WEFTEC.
Serves as editor for marketing materials (including the Conference Announcement and Onsite Program).
Maintain volunteer rosters.
Assist with preparing all speaker communications.
Assist with creation of and sends the speaker notifications from speaker database.
Responsible for organizing workshop workbooks (ordering materials, updating agendas, assembling, preparing for print) and coordinates with Facilities staff to print.
Create numerous reports in database, including for production to use to create the onsite program.
Manages the WEFTEC shipment (over 100 boxes) for WEFTEC Education and the Mid-Year Meeting.
Assists with manuscript collection including uploading of all documentation and occasional follow-up emails to speakers.
Prints moderator data forms and compiles evaluation data after WEFTEC.
Bachelor’s degree in a business or communications field or commensurate experience or training.
3+ years high-level administrative and project support experience.
Excellent verbal/written communication and telephone skills.
Customer service focus and good people skills.
Detail oriented and accurate with good organizational skills.
Ability to coordinate multiple fast-paced projects and perform well under pressure.
Ability to work independently, troubleshoot problems and meet deadlines.
Strong computer skills in Microsoft Office with a focus on Excel and databases; prior experience with an abstract management system preferred.
Excellent proofreading and editing skills.
Ability to travel up to 14 days per year.
This person will work primarily in an office environment using standard office equipment; also assembles and moves workshop workbooks in boxes weighing up to 20 pounds.
