Provides administrative support for office operations and the membership department. Responsible for ordering office supplies, monitoring office equipment, maintaining Office Procedures Manual and tracking organization contracts. Serves as main contact for building and ASDA’s third-party technology vendor. Responsible for annual membership processing, membership invoices, chapter leadership and dental school information.
Coordinates all services required from the office of the building
Monitors office equipment and contacts service personnel as necessary.
Serves as administrator on various ASDA online accounts including Survey Monkey, Asana and GoToMeeting.
Maintains Office Procedures Manual.
Tracks and monitors organization’s contracts, alerting appropriate staff to contract deadlines.
Records staff meeting minutes
Serve as main point of contact for ASDA’s third-party technology vendor.
Maintains reception area and answers phone calls.
Sorts and distributes ASDA’s incoming mail; reconciles postage due account.
Processes orders for products sold, product inventory, shipping and handling as well as maintaining the online store section of the website.
Assists with new employee onboarding.
Coordinates the annual document destruction/retention process for the office.
Fulfills other administration duties as assigned by Director of Finance and Administration.
Supports annual membership processing including updating addresses, uploading members into database, updating chapter leadership information, membership renewals, chapter invoicing, and year-end reconciliation.
Conducts monthly review of membership dues processing. Works with Finance to reconcile monthly remittance payments.
Upholds quality assurance processes to ensure accuracy of member and prospect records.
Supports dental school information collection and updates database with new school administration information.
Assists the membership area by updating member website according to the review schedule.
Pulls membership and chapter reports from association database.
Fulfills other membership duties as assigned by Director of Membership.
Experience and Education: Bachelor’s degree required. Three to five years’ work experience in related field; association experience preferred. Experience in member relations and timely customer service. Knowledge of Microsoft Office and Association Management software; familiarity with reports required.
Skills Required: Self-starter with the ability to handle multiple priorities. Detail oriented. Accuracy and proficiency with membership data and reporting. Strong customer service, interpersonal skills and professional demeanor. Excellent written and oral communications. Must be able to work with a small staff as part of a team.
