The Foundation Assistant is responsible for providing administrative support, planning and implementing logistics for multiple events- CDA Cares (bi-annual event), Foundation fundraisers and meetings, and providing support to the Foundation Manager and Development Manager.

Foundation Assistant Essential Functions – must be able to perform with or without a reasonable accommodation
Assist with denture patient process including but not limited to: identifying patients; identifying dentists to take impressions; coordinating patient information with dentists; scheduling impressions and communicating the process with patients.
Schedule Prosthetic/Dental Lab patients and assist with onsite Prosthetic/Dental Lab registration.
Research and create clinic specific ‘Low Cost Dental Care’ clinic resource list.
Coordinate clinic patient aftercare including but not limited to: identifying and tracking dentists; handling incoming patient calls; communicating with patients and dentists/dentist’s staff; tracking all aftercare calls and outcomes; creating aftercare cover letter for patient records.
Assist with clinic supply inventory, ordering, tracking and distribution of supplies to clinic specific areas.
Coordinate shipment of supplies and event tear-down to include inventory of pallets.
Assist with patient inquiries, respond in a timely manner and update patient related surveys.
Assist with volunteer inquiries and provide backup to Foundation Coordinator with license verification, t-shirt assignments and update of volunteer surveys.
Coordinate printing of all onsite documents, volunteer sign-in sheets and lead packets to include volunteer area lists and shift times.
Assist with marketing material updates (websites, flyers, sponsorship letters, etc.) for CDA Cares and Foundation fundraising events.
Support all aspects of special events and donor campaigns to include but not limited to: composing letters and email correspondence; research of caterers and locations; outbound calls to members and guests; purchases of supplies.
Create and maintain event and donor reports.
Assist with research, tracking and correspondence of outside grant funding opportunities.
Contact Foundation donors regarding expired credit cards, failed transactions, etc.
Schedule regular weekly staff meetings to include WebEx conference calls when needed, manage calendar and room requests, and prepare agendas and meeting minutes.
Provide backup to Foundation Coordinator with tracking and coding of invoices, data entry of monetary and in kind donations, UPS shipments, running email and mail lists, etc.
Provide administrative support to the CDA Foundation team.

Required Education, Licenses & Experience
High School diploma or equivalent required.
Minimum of 3 years of experience in administrative support with managing multiple projects.

Proficient computer skills, specifically in Excel, Word, PowerPoint and database management software
Must be able to provide supervisory oversight during events.
Preferred Education, Licenses & Experience
Bachelor’s degree in business or related field recommended or equivalent experience.
Bilingual in Spanish preferred.
Minimum of 2 years of experience in special events and/or volunteer events oversight preferred.
