CSI is looking for a dynamic Administrative Coordinator to join our team!
CSI has a brand new office in Old Town Alexandria and has a casual dress code.
The coordinator supports volunteer and executive functions in the organization - scheduling meetings, generating reports, staffing committees, and/or interfacing with the board or operating committees. The Coordinator provides administrative support to the CEO or other senior managers or executives.
Supports communication and activity toward board and operational committee goals
Supports implementation of elections, call(s) for volunteers, nominations, and board work plan
Serve as daily Administrator for Volunteer Portal system, creating volunteer opportunities, working cross departmentally to identify and implement volunteer opportunities
Lead operations including roster maintenance, thank you letters, volunteer communications, etc.
Ensure that board expense reports are processed.
Ensure the proper creation, distribution and archiving of board materials
Organize and support Board meetings; maintain multi-year event calendar
Serve as back up meeting planning support for CSI board meeting.
Develops and implements system to coordinate committee meetings
Coordinates travel for key personnel and volunteers (Executive Team and Board)
Executive and Staff Support:
Keep the CEO engaged and connected to office when traveling
Keep CEO organized; manage CEO’s schedule, coordinate travel arrangements, conduct research and briefing materials for key meetings, maintain and prioritize requests for action items
Assist timely completion of Board monitoring reports
Provide project management system support for CEO, creating and maintaining projects.
Schedule internal staff meetings, CSI event coordination as needed.
Administration and additional Duties and Responsibilities:
Maintain general office areas and coordinate mail room processing including distribution of incoming mail.
Manage relationships and vendors in the areas of office supplies, equipment, award ordering, and office building
Organize, maintain and ensure compliance with general office filing systems
Serves as back up support for Senior Member Services Representative.
Serve as key staff contact for staff celebrations and events; facilitate these efforts
Minimum of four (4) years’ experience in the areas of volunteer, business or general operations management.
Demonstrates expertise in a variety of the field’s concepts, practices and procedures.
Relies on extensive experience and judgment to plan and accomplish goals.
Demonstrated ability to lead and direct the work of others.
Exceptional written and verbal communication skills.
Work will primarily be done in an office environment with up to 10% travel including attending conferences, trade shows and association events/meetings.
