The Orthopaedic Trauma Association (OTA), is a professional medical association with a mission centered on education and research geared towards improving patient care. The association membership is comprised mainly of orthopaedic trauma surgeons. There are over 2,300 members, and approximately 20 committees.Headquartered in Rosemont, Illinois, the staff works in close collaboration with the leadership in implementing, promoting and continuous evaluation of programs and initiatives.We seek an Education Coordinator to join our team.
The OTA Education Coordinator will manage and implement logistical aspects of OTA educational programs, including coordination of courses and labs, online resources, and webinars. This person will serve as a staff participant to the Education Committee, and will participate in committee meetings and conference calls. The Education Coordinator will serve as staff liaison to additional education related committees and project teams.
DUTIES AND RESPONSIBILITIES:
Coordinate, implement, and evaluate assigned meetings.
Coordinate logistical and operational elements of meetings and courses.
Assist in creating project budgets.
Collaborate in recommending course marketing and promotional strategies.
Coordinate the creation, production, and distribution of course materials, including preliminary and final programs, within budget and timelines.
Serve as liaison to course speakers. Solicit speakers and prepare related communications material. Develop, collect, and record required documentation.
Assist in the evaluation process, and recommending new learning or environment formats to enhance the attendees’ experience, and implement as directed.
Coordinate the preparation and submission of materials for ACCME review and action; ensure compliance with ACCME rules and regulations.
Provide progress reports as assigned; provide final analysis report for each meeting.
Develop and present appropriate reports for course directors; develop and maintain effective communications and relations with volunteer and staff leadership.
Develop requests for proposal and prepare comparison grids for review and decision. Prepare specifications for vendor solicitation and contracts.
Manage online educational resources: Support the OTA Education committee in creating the annual webinar schedule; serve as staff liaison to webinar moderators, manage webinar production including coordination of content planning, technology training, and budgeting. Provide webinar analysis throughout the year and collaborate with leadership in recommendations for future webinar direction.
Approximately 20-25 days of travel per year.
• Undergraduate degree.
• 2 years of meeting planning and/or association volunteer management experience desired.
• Proficient in Microsoft Office.
• Excellent member service mentality and delivery; effective verbal and written communications; strong organization and interpersonal skills. Ability to think proactively and creatively.
• Must excel in a fast-paced, team-oriented environment. Flexible, supportive, and “can do” attitude is crucial to success. This person must have integrity and credibility with leaders, members, vendors, and staff.
