Responsible for supporting all aspects of the ASNR Annual Meeting, including: logistics coordination, event collateral, vendor management, speaker management, registration, marketing, onsite meeting management, and event reporting.
DESCRIPTION OF DUTIES:
The Meetings Coordinator is responsible for providing administrative support in the areas of: meeting planning and operations, program development, speaker management, vendor management, event communications, event collateral, and general process management and reporting. In addition, they will be responsible for fulfilling general member requests in relation to the ASNR Annual Meeting. Travel required (approx. 2 times per year). Annual Meeting travel duration – 10-12 days and Site Visit for meeting 2-3 days, depending on location. This travel may be international.
Support the general administrative duties of the Meetings Department
Coordinate and manage speaker and exhibitor needs, deliverables and communications/reminders
Assist with the logistical planning and specification creation for the ASNR Annual Meeting (including; AV, housing, room layouts, food and beverage, social programs, and production schedule)
Assist with the creation, review and editing of all attendee registration materials and forms
Assist with the creation, review and editing of all meeting collateral (meeting guide, meeting app, badges, etc.)
Assist with the creation, review and updating of the Annual Meeting website
Manage all signage for Annual Meeting
Create and manage weekly registration reports and year-to-year history reports for registration, housing and evaluations
Oversee supply procurement, shipping and off-site storage for the Annual Meeting
Research, inspect and evaluate new event technologies as needed
Other duties as assigned
Moderate to advanced level of understanding/knowledge of general meeting planning
Moderate understanding/knowledge of databases and event technology
Extreme attention to detail
Ability to prioritize workload and manage a number of projects simultaneously under pressure. Must adhere to strict deadlines
Strong customer service, organizational, administrative, and word processing skills (Microsoft Word and Excel). Experience with design program is a plus.
Excellent communication (verbal and written) and interpersonal skills, and pleasant phone manner
