The American Association of Colleges for Teacher Education (AACTE), a leading voice on educator preparation, has an immediate opportunity for an experienced Director of Meetings & Events. AACTE represents approximately 800 postsecondary institutions with educator preparation programs dedicated to high-quality, evidence-based preparation that assures educators are ready to teach all learners.
Reporting to the Vice President, Membership, Events & Special Projects, this position is a member of the senior management team and is responsible for developing and delivering profitable meetings, events, and educational experiences. Responsibilities include:
Implementing and managing the Call for Proposals and Call for Reviewers submission and selection processes, including maintaining the submissions database
Managing staff development and collaboration of AACTE’s sessions for the Annual Meeting, as well as other events as needed
Complete project management of all events including, but not limited to, development of event content, site selection, contract negotiation, program planning and implementation, vendor selection, transportation, catering, production needs, and overall onsite management. In addition, analyzing historical attendance tracking and reporting, evaluating reports, and making recommendations for future meetings
Creating and managing, in consultation with the Vice President, Membership, Events & Special Projects, all budgets related to AACTE events
Managing presenter and speaker communication and coordination related to scheduling, contracting, and logistical support as needed for AACTE events
Creating, implementing, conducting, and assessing post-event evaluations to inform future planning for AACTE events
Designing and executing all components for AACTE's exhibits at the Annual Meeting including, but not limited to, vendor contracting, budgeting, design, and sponsor benefits fulfillment
Collaborating with other AACTE departments to integrate pedagogical and content needs into the design of AACTE events, providing creative solutions and assistance around meetings management as needed
Identifying opportunities for the development of new offerings and service technologies
Serving as the Staff Liaison for AACTE's Board Committee on Meetings & Professional Development and managing/supporting all committee activities
Performing other duties and projects as assigned
Qualifications include a Bachelor's Degree, preferably in Hospitality, Communications, Public Relations, or a related field. CMP designation is required. Other requirements include:
Seven to ten years of experience in event planning, management, and overall logistics, with experience in not-for-profit, professional associations preferred
Three to five years of experience providing overall, onsite logistics management and support for programs
Strong negotiation skills, with proven experience in successfully contracting and negotiating agreements with strategic partners
Proven success in event budget development and management, to include weekly reporting and analysis of trends and expenditures
Thorough knowledge of managing program and project budgets
Understanding of non-profit AMS systems and reports
Experience in training, managing and mentoring staff
Strong oral, written and communication skills with experience in developing well-written RFP's, reports, etc.
