The Membership and Meetings Coordinator reports directly to the Meetings Manager and maintains membership information in the associations AMS, coordinates registration for NAAG annual meetings, regional meetings, and other seminars and conferences (approximately 20 each year.) Excellent computer skills (Word, Excel, Outlook, database knowledge) are necessary. A basic knowledge of the meeting industry is required. The ability to maintain confidentiality, professionalism, composure, and discretion are essential. The Membership and Meetings Coordinator must be a highly effective team player and be comfortable working in a fluid environment.
Association membership database maintenance:
Ensure the accuracy of all records including but not limited to running duplicate checks and updating addresses as needed;
Respond to customer requests for data changes and extracts;
Ensure meetings are setup in accordance with finance regulations;
Participate in continuous improvement efforts in enhancing performance and providing increased functionality of database system; and
Work closely with other departments and vendor to ensure proper functionality of the system.
Meeting logistics management:
Coordinate meeting details with finance, web services, and communications to ensure all departments are briefed appropriately;
Create and distribute hotel, travel and event information for announcement and online registration;
Check registration daily and work with finance to monitor payments;
Prepare pre-meeting materials such as announcement, agenda and logistics emails; meeting materials such as name badges, attendance lists, post-meeting materials such as evaluations and reimbursements;
Apply and track Continuing Legal Education process; and
Manage registration onsite (travel required approximately 6 - 8 times per year).
Ensure speakers and panelists understand all NAAG defined expectations.
Manage hotel rooming list to include NAAG staff, speakers, VIP’s, AG’s and Chief Deputies as needed
Reconcile registration list with hotel rooming list on a weekly basis
Update meeting agenda daily or as needed
Collect and analyze data from events and marketing platform to inform future planning direction
Liaise between Meetings Manager and NAGTRI on all NAGTRI programs that accept paying registrants
Keep NAAG meeting calendars updated
Other duties as assigned based on needs of the Association
Undergraduate university degree
At least one year meeting planning experience preferred
Detail orientated, mission focused, patient, and able to get along well with others
Ability to travel (approximately 6-8 times per year)
