The Michigan Municipal League is seeking a Capital Office Coordinator to support the departments within our Lansing office including our Advocacy, Membership, Research, and Foundation teams. The approximate salary range for this position is $35,000 - $45,000. In this role, you will be the front face of the office and serve as the administrative coordinator for all office functions. Duties will include serving as the initial point of contact for office visitors and phone calls, meeting planning and logistics, coordination of building maintenance issues with property management and relevant staff, and otherwise taking ownership of the administrative and clerical needs of the office. We’re looking for a highly motivated, self-starter who can quickly learn new skills and deliver prompt and superior customer service. Incredible organization and attention to detail is a must, along with a positive attitude and a willingness to jump in to do what’s needed to get the job done.
If you were working with us, here are just some things you would do:
Serve as the central point-person for all administrative functions within our Lansing office. Develop and improve the overall administrative process for the office and proactively ensure the administrative operations are effective and efficient.
Provide inter-departmental administrative support both within the Lansing office and League-wide. Maintain calendars, process mail, order supplies, assist with light bookkeeping, prepare and proofread documents, presentations, and other materials, and prepare the office for opening and closing each day.
Receive visitors, answer phones, and solicit sufficient information to appropriately respond to, route, and refer League members, legislators, and other external contacts.
Serve as the onsite point person for all meetings and events held in the Lansing office. Coordinate meeting planning and logistics for various internal and external boards, meetings, and events. Assist in preparing agenda items, meeting materials, and travel arrangements. May take meeting minutes as assigned. Coordinate reservations, work with outside vendors, ensure proper room set-up, order and prepare food/refreshments, and complete other related logistics.
Coordinate the League’s Legislative Committee process. Assist with research and monitoring legislative initiatives and existing laws and assist in preparing related reports.
Create, update, and maintain various databases, spreadsheets, contact lists, websites, and other electronic and paper files.
There will be a lot of different people, personalities, and priorities working with this position so being able to juggle them all harmoniously is a must.
Required Core Qualifications:
A high school diploma or equivalent is required, though training or education equivalent to an associate’s degree is preferred.
Five or more years of experience in an administrative support, office management, or related field.
Superior customer service skills, including demonstrated experience supporting multiple departments.
Excellent organization and attention to detail skills.
Skill in using computers and Microsoft Office programs such as Word, Excel, PowerPoint, and Outlook with the ability to learn new technologies.
Ability to work and communicate effectively with different personalities and individuals at all levels.
