Provide administrative support for quality, practice guideline and writing group meetings, Vascular Annual Meeting (VAM) and other national meetings to include scheduling, preparation of materials, travel arrangements, coordination with meeting planners and meeting summaries.
Schedule, prepare, organize and package materials for meetings in multiple formats (electronic, print, etc.) and assist with the creation of reports and agenda materials for committees/councils/task forces.
Monitor, track and update website information on quality and practice guidelines; work with quality practice team to expand awareness and information; manage on-line documents, summarize materials.
Specific Duties and Responsibilities:
Draft memos, maintain and organize shared electronic files, including all committee rosters
Assist in the development of content for electronic and print communications
Prepare surveys, polls and other project materials for a diverse set of quality focused initiatives
Track website and communications activity and basic analytics
Manage electronic documents
Respond to member and staff inquiries; provide phone coverage for entire organization
Facilitate travel reimbursement for committee and staff members
Support other quality projects as needed
Demonstrate willingness to learn, teach, and develop new skills
Track Quality Practice budget, maintain budget files, code and process all invoices, maintain staff account statement documents
Attend evening conference calls (about 1-2 times per month) and take notes
Other duties and responsibilities as assigned
Education and Experience:
2-4 years administrative experience
Bachelor's degree preferred, but not required
Excellent administrative and organizational skills; prior office experience preferred
Proficiency in Word, Excel, and PowerPoint (intermediate to advance skill level) to convey a professional image
Strong writing, verbal, and interpersonal skills
Organized, detail-oriented and self-directed
Customer-service focus preferably assisting physicians and medical professionals
Must be able to manage and prioritize multiple projects in a deadline-oriented environment
Ability to synthesize diverse information from multiple sources
