The Program Manager for Subspecialty Education is responsible for managing the short and long-term goals/activities for subspecialty medical education, including but not limited to HIV and addiction psychiatry. Duties include management of training activities, technical assistance, content review and faculty recruitment, support for online educational initiatives, and management of new medical education initiatives. Additionally, the Program Manager oversees a number of tasks within the Department of Continuing Medical Education (CME).
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manage internal HIV Psychiatry activities and serve as a liaison to the HIV Steering Committee
Organize yearly HIV Psychiatry Elective for fourth year students including creating curriculum, planning travel, and ensuring grant compliance
Help Steering Committee strategically plan priorities in HIV training and education
Provide technical assistance to Steering Committee
Serve as HIV education and knowledge “hub” for the APA by attending online and in-person training
Support HIV Steering Committee’s relationship with the Consultation-Liaison Psychiatry Council
Create new educational initiatives for HIV Psychiatry as needed
Assist in the development and dissemination of Addiction Psychiatry and other subspecialty medical curriculum
Represent the interest of HIV and Substance Abuse inside and outside the organization as related to these projects
Manage the Provider Clinical Support System (PCSS) contract and ensures that deliverables are completed in a timely manner
Coordinate webinar series development for distribution to residency programs, international memberships, mental health agencies, etc
Coordinate live, online conferences to rural, international, and underserved communities as technology is available
Coordinate in-person trainings for PCSS contract
Update online course materials
Provide administrative support to the Division of Education related to subspecialty education projects
Research, compile, locate references, provide survey support, etc.
Provide support as requested for contract reporting, funding proposals, etc.
Provide technical assistance and respond to member requests for HIV/AIDS information, training materials, and research
Assist with mass mailings, e-mail blasts, blogs, listservs, as appropriate
Contribute support to the Department of Continuing Medical Education (CME)
Maintain the listings of all APA CME activities and annually prepares Accreditation Council of Continuing Medical Education (ACCME) participant and credit activity reports using the ACCME data entry program
Assists the CME Program Manager in preparing reports of expiring activities for review by the CME team
Provide bi-monthly reports to Substance Abuse and Mental Health Services Administration (SAMHSA)
Identify and solve problems related to the Learning Management System (LMS), assists members with the use of the LMS, and helps implement online courses, quizzes, tests and other assessment activities .
Stays current on ACCME criteria and policies and ABPN requirements for Maintenance of Certification.
Perform other duties as assigned
REQUIRED SKILLS, EXPERIENCE, AND QUALIFICATIONS
Bachelor’s Degree with 4 years of experience; coursework or experience in mental health, HIV, or education is preferred
Ability to maintain professional and courteous tone with staff to facilitate a productive and mutually supportive team approach to all office operations
Excellent oral and written communication skills; must demonstrate proficiency in spelling, grammar, punctuation, and composition
Strong proofreading skills with attention to detail
Fast and accurate data entry skills
Excellent organizational skills and the ability to coordinate multiple tasks simultaneously
Ability to prioritize workload and attentive to detail and deadlines
Proficient in Microsoft applications (specifically Word, Excel, Outlook)
Demonstrated skills in managing interpersonal relations across a broad spectrum of contacts
Association experience a plus
