CLIENT ASSOCIATIONS: Chinese American Hematologist Oncologist Network, CAHON & Various EDI Clients
POSITIONS REPORTS TO: Consulting Partner
EMPLOYEE STATUS: Exempt
GENERAL SUMMARY: Closely monitors all client activities providing important decision making information to client and association leadership. Provides professional direction and support to all client activities, projects, meetings, and campaigns for CAHON and client(s) to be named.
POSITION RESPONSIBILITIES (Minimum of 37.5 hours/week):
Fiscal responsibility for all client activities, budget preparation, explanation, and development;
Supervise the day-to-day administrative functions of the associations,
Prepare requests for proposals for vendor contracts;
Negotiate contracts (room block, catering, audio-visual, etc.) with properties to hold meetings for the associations and contracting with outside venues, organizations or corporations;
Prepare and organize membership publications and other communications (broadcast e-mail, faxes, mail, etc.);
Maintain and update client websites;
Attend and assist the Presidents in leading conference calls and in-person meetings of the Boards;
Prepare agendas for the Board meetings and prepare meeting programs and related meeting materials;
Maintain or be involved with the strategic planning process for the associations;
Oversee the legal responsibilities of the associations (taxes, non-profit applications, bylaws, etc.);
Partner with Presidents to complete tasks approved by the Boards;
Oversee financial activities, including payment of invoices, budget preparation, monthly financial records, annual audit, etc.
Take, transcribe and distribute minutes of Board/Council meetings and conference calls.
Other duties as assigned, particularly in the area of meeting support for various clients requiring assistance. This varies significantly.
AMOUNT OF TRAVEL REQUIRED: 6-8 weeks per year, some evening and weekend work may be required. Some international travel may be included.
EDUCATION/EXPERIENCE REQUIRED: Bachelor Degree in Business or related major, 4 years experience with trade and/or non-profit associations and excellent communication (written, verbal) skills. Computer proficiency; high accuracy and attention-to-detail; ability to travel internationally.
PHYSICAL REQUIREMENTS: Ability to lift packages up to 50 pounds.
