Description: Manages the day-to-day operations for sponsorship and advertising within the Corporate Relations Department; coordinating all orders, managing deadlines, performing billing and production duties and reporting.
Works with Assistant to maintain client database to ensure accuracy of existing and prospective clients and their spending history.
Maintains advertising and sponsorship schedules and deadlines. Develops yearly schedule and manages deadlines and records updates in project management tool. Maintains files and records of sold items.
Traffics and coordinates all advertising and sponsorship materials between clients and Production, Marketing or other RSNA departments in regards to creative and deadlines. Sends specifications to clients, answers questions and follows up for materials. Follows up with Corporate Partners or other clients for logos as needed.
Conducts closing, proofs content and monitors placement of client ads in journals, e-newsletters, online, and meeting publications as well as meeting sponsorships. Notifies Assistant Director: Corporate Relations when materials are ready for review.
Creates and distributes insertion orders and contracts to clients, working with Assistant Director: Corporate Relations.
Works with Customer Service department to enter orders, prepare invoices and distributes invoices to clients, copying Assistant Director: Corporate Relations.
Distributes advertising reports to clients. Reviews reports generated by Assistant for accuracy and shares with Assistant Director: Corporate Relations for review.
Works with Assistant Director: Corporate Relations and Assistant to develop client ROI reports.
Updates internal sponsorship and advertising reports (fiscal budget, promotional opportunities, corporate partners, client summaries, etc.), notifying Assistant Director: Corporate Relations when ready for distribution or review.
Serves as first point of review for sponsorship marketing materials. Identifies content for sponsorship eblasts, reviewing content ideas with Assistant Director: Corporate Relations.
Oversees and maintains online Plan Tour, working with Assistant to update availability, promotional copy and specifications as needed.
Helps ensure quality of incoming ad material by keeping abreast of changing production requirements and industry but also working closely with the Production Department, Marketing and clients.
Monitors industry news and sends weekly recap to Corporate Relations department and Corporate Coordination Committee.
Oversees Boxwood Career Connect relationship. Includes participating in quarterly status calls, updating fiscal report with revenue, and handling issues as needed.
Works with Assistant to outreach to clients on Aging Report to obtain outstanding payments.
Have an overall understanding of the workings of the Corporate Relations department in order to answer basic questions on all levels of advertising and sponsorships.
Minimum 3-5 years' experience in advertising or sponsorship production and/or sales
Excellent written and oral communication and presentation skills. Ability to effectively interact and maintain a professional attitude with a strong commitment to providing excellent customer service at all times.
Strong project management skills required, including excellent organizational skills, ability to prioritize and strong attention to detail.
Ability to multi-task with accuracy and thrive in a fast paced environment
Ability to work under pressure with multiple deadlines
Keeps abreast of industry standards and trends
Knowledgeable in Word, Excel, Google Ad Manager, Salesforce, Plan Tour software, CMS, Google Analytics, Ad Mob and other programs
